To get things started for the team, here are a few tips for a successful season:
Complete your WA Youth Soccer Background Check - MANDATORY!
You can find more information on the Washington Youth Soccer website: http://www.washingtonyouthsoccer.org/resources/risk_management_safety/risk_management_application/
All adults involved with coaching or as team managers, team treasurers or those driving carpools with children other than your own, are required to complete and pass a national background check prior to their service to SSC Shadow. Follow this link to complete your check: rma.volunteer.washingtonyouthsoccer.org.
Introduce Yourself: Send an e-mail to your team to introduce yourself and give your contact information. Attach this Team Account Overview or write an email using the following template:
Welcome to the ___ Spokane Shadow Youth Soccer Season! For those of you that do not know me, my name is ___________ and I will be your Team Treasurer. My primary e-mail contact is YOUR EMAIL ADDRESS HERE and my phone number is YOUR PHONE NUMBER HERE.
Attached is a copy of the Team Tracking Sheet that all of the Premier teams will be using this season for the team expense account. The Team Tracking Sheet has been in use for several years now and has been a valuable tool for the Club, but also for the parents. This tool is how you will be able to continuously keep track of your player’s account balance in the team account.
There are 3 pages:
Page 1: This reflects the balance in your account. If you are “in the BLACK”, your account is “positive” and no funds are currently owed. If you are “in the RED” (example: -$25.00), that is the amount owed to your account to get your balance back to “zero” or what we consider “positive”. Your $50 account minimum has already been factored into your balance. It is itemized on the 3rd page. So for example, if your account balance shows -$50.00 you will need to send me a check for a minimum of $50.00 to bring your account positive, or to “zero”. The bottom line is, you always want your account balance to be “in the BLACK”;
Page 2: This itemizes all your deposits made into your player’s account;
Page 3: This itemizes all the expenses deducted from your player’s account.
Each time a check is issued or a deduction is made from the team account for our expenses, I will send you a copy of the Team Tracking Sheet so that you will always have a current status of your player’s account balance. You can send checks to me at YOUR ADDRESS HERE or feel free to give them to me (AND/OR YOUR SON OR DAUGHTERS NAME HERE, if you are comfortable with that) at practice. Checks need to be made out to Spokane Shadow. If your account balance is in the RED, I would appreciate it if you provide me a check within the week so I can keep our team account balanced. I cannot accept cash per Club policy.
Although rarely needed, the Club does have a “No Pay, No Play” policy administered by the Club, not me, so keeping your player’s account balance “in the BLACK” is very important. Each month our Team Tracking Sheet is sent to the Club so that team accounts can be reconciled and consistency can be maintained throughout the Club.
As a reminder, if you have informed the coach and manager that you are unable to make a tournament, I need that information as well. All players will be responsible for their share of tournament expenses, regardless of whether they attend or not, unless they have notified the coach and manager according to Club policy, that they are unable to attend. Regular season expenses are shared equally by the entire team even if a player is unable to attend due to a conflict.
In closing, please stay in communication with me. Should there be any questions, concerns or extenuating circumstances concerning payments, just let me know and we can work out a plan that is satisfactory to our team account and the Club.
